External auditors rarely ask for every lease on day one, but they almost always ask for a complete schedule. Building that schedule after fieldwork starts wastes everyone’s time.
Columns that earn their keep: tenant or landlord name, property address, commencement and end dates, base rent, deposit held, indexation basis, and a pointer to the contract file name. Add a column for known disputes or unpaid arrears so the sample selection is informed.
Cross-foot the schedule to the trial balance. If the control account and the schedule disagree, resolve it before the kickoff meeting. Auditors notice when the first deliverable does not cast.
Keep sample contracts in a single folder ordered by the schedule line numbers. Naming files after internal codes that only the property team understands slows the review.
